ANNUAL GENERAL MEETING

To make our show as fantastic as it usually is we need not only a strong production team but a solid executive team running the society that puts on the show. Its a great way to get involved with the revue, its a lot of fun at times and looks great on your CV. So come along. Please note if you're interested in running for any of the positions at all, read the description of the roles so you know whats out there and whats expected of each role.

THE ROLES UP FOR GRABS
Executive Roles
Producer
The president of the society is also the producer of the show itself, and is the first point of contact for most official society business. The primary role of the producer is to oversee the organisation of the show. This involves having regular meetings (executive meetings, production meetings etc), and delegating tasks. It also involves setting targets for all of the executives, and liaising with them to help them with their role and coordinate it with the rest of the team. The producer usually advises the treasurers and the sponsorship officer particularly as these monetary roles can have the biggest impact on the show. The role of producer is immensely demanding but also extremely rewarding.
Treasurers
The Science Revue has 2 treasurers, partly for security and partly to lessen each treasurer's workload. Treasurers are responsible for the financial situation of the society and their role can be split into 3 parts. Firstly, they collect money: at each event that creates revenue for the society, a treasurer must count, collect and deposit the money in accordance with society procedure. Secondly, they are responsible for spending money: this usually happens in the form of events. For each event that the society holds, a treasurer must process the appropriate paperwork with the Clubs and Societies office, and be responsible for paying for the venue, food, etc. Occasionally a member of the society may spend money on behalf of the society and in this case the treasurers must reimburse them and document it appropriately. The third is the budget: the treasurers create and manage the budget for the show year, in consultation with the producer, and are responsible for communicating the appropriate information to other executive or production members as needed.
Secretary
The secretary of the society is fundamentally a record keeper. They are responsible for organising times and places for official society meetings and taking minutes at these meetings, creating a database of member details, sending society news emails and updating the website. The secretary will liase fairly closely with the publications team and assist with the creation of the Revue Archive, and is also responsible for maintaining full and accurate cast and crew lists for each of the aspects of the revue for use in mailing lists and credits among other things.
Sponsorship Officer
The sponsorship officer is responsible for a large portion of the income of the society. By procuring either monetary or in kind sponsorship, the sponsorship officer enables the society to pay for the theatre and other costs associated with putting on a show, as well as allow money to be spend on events for members. The sponsorship officer is effectively a liaison between the members of the society and the sponsoring companies. The role involves meeting with prospective sponsors, contacting existing sponsors, creating acceptable sponsorship deals and ensuring that our side of the deal is upheld (this is usually in the form of publicity for the company in question).
Fundraising Officer
The fundraising officer is also responsible for providing consistent cashflow for the society. The role involves running events that bring money into the society, such as BBQs and cake stalls. The fundraising officer must liaise with the treasurers to ensure that events are properly documented.
Publicity Officer
The publicity officer is responsible for publicizing all of the events of the society. The most important of these is the show itself. As the lead-up to the show is the publicity officer's busiest time, it is recommended that they build a publicity team to help out. The publicity officer is also responsible for our O-Week stall and other events which recruit new members. In addition, the publicity officer must liaise with the rest of the executive and production team to advertise any events that they run for the society. Publicity usually takes the form of posters and chalking on campus, Facebook events, and emails (through the secretary).
Social Secretary
The social secretary is responsible for all of the social events of the society, which ensure that the members bond and have as much fun as possible. There are two major events: the annual camp, which usually happens in July; and the after-party, which occurs after the last show. Other events include viewing nights, parties, and outings to other revues, movies, comedy shows etc. The social secretary works closely with the treasurers (to fund the events) and the publicity officer (to publicise events).
Production Roles
Assistant Producer
This role involves assisting the producer in various tasks as needed. It's a great opportunity to get a feel for producing if you are interested in doing that in future. Also, if the producer is to leave the country (or city) for any reason, the Assistant Producer will need to step in. In general, this is a role that can be done in parallel with Acting, Singing, Dancing OR a single production role, depending on the workload of that role.
This position will not be elected at the AGM (and will only exists if the producer feels they need it). However, the producer will take expressions of interest before and during the meeting and make their decision on an Assistant Producer shortly afterwards.
IT officer (elected at AGM)
In charge of website and other IT projects (eg. ticketing system, scheduling system). It is recommended that they delegate different projects to different people (eg. ticketing system to Nick Cooper).
O-Week co-ordinators (2) (elected at AGM)
The O-week co-ordinators work with the Publicity Officer and the Sponsorship Officer to make O-Week as big of an event as possible. This includes working out stall rosters and training the people at the stall, showbags and their contents, sponsorship materials and other activities (including performances both on stage and Transition Workshop). This role will probably require you to be in Sydney from early February onwards.
Archive Co-ordinators (chosen by exec and announced at AGM)
The Archive Co-ordinators are tasked with the job of creating an archive of the Revue's activities (such as posters, shirts, logos, photos, DVDs, scripts in both online and hard copy formats) for the last four years. Eventually, this job will be part of the Publications Team, but as there's a lot of backlog, it is a separate position this time.
Band Director (Chosen shortly after the AGM by new exec)
As the band is losing many of its members, the Band Director will be chosen very shortly after the AGM by the new executive. This is so that the band director can begin to find new band members with plenty of time and organise any rehearsals needed for the Album Recordings and any gigs early next year. If you are interested in this role, you need to put in expressions of interest before or during the AGM.
Summer Roles
These roles mirror production roles that will appear throughout the year, but do not have to be by the same person (so you can actually go on holidays etc.). They are a great opportunity to try out a role you're interested in without committing for the entire year. These roles may not require you to work on them thorughout the entirety of the holidays, but realize that there may be constraints based on when other people are around.
Summer Publications Officer (elected at AGM)
The Publications Officer is a new role, which will cover the production of programmes, showbags, posters, dvd covers and other printed material that the revue produces. They will work in conjunction with the Publicity Officer and Graphic Designer to design these items. As a summer role, we have three main projects for the Publications Team:
- Design the 2009 DVD cover
- Design the Album Cover (2006-2009)
- Collate and format scripts from 2006-2009 revues to print in book form
Summer Video Directors (1-2) (elected at AGM)
Over the summer, we are looking to create video sketch versions of some of our best sketches for use in publicity. This will be a great opportunity for those interested in Video Directing to try out the role, and is especially recommended if you don't have much prior experience.
Summer Vocal Director (elected at AGM)
Another summer project involves recording a 'Best of' Science Revue album. Some of these songs will be solos and others will be choral pieces, and all need to be rehearsed before being recorded. Again, this is a great opportunity for those interested in Vocal Directing next year.
Summer Music Director (elected at AGM)
This role involves helping the Summer Vocal Director (and possibly the Band Director) getting the music together for the Album. While it does lead towards the Head Music Director role, it has on equal footing with the Summer Vocal Director for the purposes of creating the Album.
Summer Sound Engineer (chosen by exec before AGM)
This role involves recording the Album and mixing the recordings afterwards. The person in this role needs to have access to a recording studio. If one such person is not available for the entire holidays, this role may be split so that recording can occur throughout the holiday period and may also include assitance in the recording of sound for videos. Please make sure expressions of interest for this role (including holiday availabilities) are in by the end of week 10.
Summer Set and/or Props Co-ordinator (elected at AGM)
This role involves building/finding sets and props for the various Video Sketches being filmed in the holidays. If desired, this role can be split into two (one for set and one for props).
